Procedure for the subject-specific adaptation of survey instruments

1. planning

The evaluation officer and the ZEM discuss the structural conditions in the organizational unit. The requirements for adapting the registration system and, if necessary, the questionnaire are formulated and approved. The ZEM programs a test version of the registration system and the questionnaire. The evaluation officer receives test access and can test the registration of a module including the associated courses and view the online questionnaire. If no further changes are necessary, the subject-specific test version is transferred to the “live system”, the evaluation officer receives access and can enter modules and courses in the database.

2. necessary information

The following information is entered into the database: module identifier, module title, module supervisor, semester in which the module is offered, faculty, degree program, type of module examination, credit points, module objectives, survey period, student email addresses; for each course belonging to the module, the course identifier, course title, course type, semester, compulsory/elective course, main lecturer responsible and any parallel courses must be entered. Modules should always be entered in full in the database.
 
If modules extend over several semesters or if it is not clear whether the module has been completed due to various options, a question in the survey is used to ensure that the entire module is only assessed if it has been completed.

3. evaluation

At the end of the selected survey period, the survey results are automatically evaluated in summarized form. Students receive the results reports of the module and the courses without information on open questions. The automated results reports are usually sent to the students the day after the end of the survey period.

4. dispatch of results

Lecturers receive the results reports for their respective courses, including the answers to open questions. The automated results reports are usually sent to the lecturers the day after the end of the survey period.
 
The evaluator receives the results reports for the modules including the answers to open questions and the results reports at course level without open responses. The evaluation officer can also request a summary of the individual results reports for certain questions from the ZEM.
